We know that diving into a digital asset management (DAM) platform can sometimes feel overwhelming. So we’ve gathered some tips and put this DAM guide together to help make your experience as smooth as soft-serve ice cream.
Uploading Essentials
First things first, let’s talk about uploading content.
⬆️ Bring on the files! You can upload as much as you need, just keep each file under 5GB. Our DAM can store most formats—you can double-check which ones are supported in our How to Upload Content to CrowdRiff article!
💻📱 Your way, every day: Whether you’re team desktop or team mobile, we’ve got you covered. Drag and drop from your computer, or scan a QR code with your phone. It’s all about what works best for you!
🏷️ Tag it (or not)! Keyword tags can help you organize your content exactly how you want for easy searchability. But you can always use auto-tagging to get the job done!
🗂️ Organize with albums: Create albums for events, campaigns, or anything that makes sense to your workflow. (Dive deeper into albums and folders here: Albums and Folders)
📅 Set some boundaries: Add expiration dates and usage restrictions when you upload. Trust us, future you will thank you!
✏️ Made a typo? No sweat! You can easily edit metadata and keywords after uploading. Just head to “My Uploads” and make your tweaks.
⬇️ Need to download a photo? Just click the download icon or “More actions (…)” and “Download.” Done!
Organization Hacks for a Cleaner Library
Keeping your assets organized is crucial for quick retrieval. Here are some simple hacks:
📝 Consistent naming conventions: Establish a clear naming system for your files. This makes searching and filtering a breeze. Think about including the date, event, or photographer in your file names.
🗂️ Folder first, then albums: Start by creating broad folders (e.g., “Events,” “Campaigns,” “Locations”). Then, create specific albums within those folders. This keeps things logically structured.
📅 Regular album audits: Take a few minutes each month to review your albums and delete outdated or redundant assets. This keeps your library lean and efficient.
⚠️ Use expiry dates and restrictions: If you have time-limited content or content with specific usage rights, use expiry dates and restrictions. This will keep you compliant and save you from having to check usage rights later.
🔎 Leverage the search function: Don’t forget about CrowdRiff’s powerful search! Use image details, keywords, authors, and dates to quickly find the assets you need.
Metadata Mastery
Metadata is the backbone of a searchable DAM. Here’s how to make it work for you:
✨ Metadata templates: If you find yourself repeatedly adding the same metadata, create templates to streamline the process.
🔄 Edit metadata regularly: Don’t be afraid to go back and edit metadata. As your needs evolve, so should your metadata.
🔑 Keywords are key: The more relevant keywords you add, the easier it is to find your assets. Think about synonyms and related terms.
